How to create an invoice

A practical checklist for making an invoice a customer can understand and pay.

1. Identify both parties

Start with your business name and contact details. Add the customer’s correct billing name and address. Ask for a purchase order or internal reference if their payment process uses one.

2. Describe the work and dates

Choose a unique invoice number and issue date. Add the agreed due date. Give each service or product its own line with a recognizable description, quantity and rate.

3. Check the arithmetic

Review the subtotal, discount and tax before checking the final total. This tool applies a percentage discount before calculating tax and rounds each line to the currency’s minor unit. Confirm that this calculation matches your needs.

4. Save and send

Add payment instructions in the notes. Use Print / Download PDF and select Save as PDF. Open the saved file to check it, then send it to the customer and keep a copy with your records.
