From accepted quote to a clear invoice

Carry agreed scope into an invoice without losing the original quote or billing changed work by mistake.

Confirm what was accepted

Before creating an invoice, check the accepted scope, quantities, price, currency and timing against the quote. Customer acceptance happens outside this app. A saved quote or a conversion button does not establish that the customer accepted an offer.

Keep the original quote

Use Save a version to keep the quote as a local snapshot. Export a backup if the record is important. Do not keep editing an accepted quote into a different agreement without retaining the original.

Convert and review

Choose Invoice from Convert to. The workspace saves the original and copies its reference into the new document. Review the suggested invoice number, issue date, due date and payment instructions. An offer’s expiry date may not be an appropriate invoice due date.

Example: quote QUO-014

Your customer accepts QUO-014 for a USD 1,200 website milestone. The invoice should identify that milestone and reference QUO-014. If the customer later adds a USD 200 feature, document that agreement before adding it. Do not silently treat an old quote as approval for extra work.

Record payments after verification

Enter a confirmed deposit in Payment already received. Save and export the invoice, then send it through your usual communication channel. The app does not email documents or collect payment. Create a receipt only after you verify the amount received.
