How to invoice international clients: currency and payment details

Agree an invoice currency, explain payment fees, and prepare clear instructions for an overseas client without confusing currency selection with conversion.

Which currency should you invoice in?

Agree the invoice currency with the customer before billing. Use a clear currency code such as USD, GBP or EUR so a dollar sign cannot be misunderstood. The invoice should reflect the agreed price and currency; the payment provider’s settlement currency and your accounting currency may be different. There is no single best billing currency for every international project.

Separate the invoice amount from the conversion

Choosing a currency in Free Invoice Generator changes the denomination and formatting, not the numeric amount. If a draft shows 1,000 USD, switching it to EUR displays 1,000 EUR; it does not fetch an exchange rate. Recalculate rates yourself only when the agreement calls for conversion, and record the agreed rate source and date.

Agree who covers transfer and conversion fees

A customer may send the invoiced amount while intermediary or recipient charges reduce what reaches your account. Discuss fees in advance and check the selected provider’s terms. Do not automatically invoice the customer again for a shortfall: first identify whether it is an unpaid balance, a fee you agreed to bear, withholding or another adjustment.

as a customer debt or recording the invoice as fully settled.

What payment instructions should you include?

Provide the details required for the method you actually accept. For a bank transfer, that may include beneficiary name, bank details and the applicable account identifier or routing information. Do not request every possible identifier when only one payment method is used. Verify details through your bank or provider rather than copying a generic example.

  • State the amount, currency, due date and invoice reference.
  • Give the correct beneficiary name and required transfer details.
  • Explain the fee arrangement already agreed with the client.
  • Confirm changes to bank details through a previously trusted channel.
  • Never include account passwords, login codes or card security codes.

A payment note you can adapt

Use your actual agreed terms and verified payment details. This is operational wording, not a contract covering every cross-border payment issue.

Prepare the invoice in our tool

Keep tax and recordkeeping decisions separate

An overseas customer does not automatically make an invoice tax-free. Required tax identifiers, invoice wording, withholding, exchange-rate records and e-invoicing procedures depend on the transaction and jurisdictions involved. Consult the relevant official guidance or a qualified adviser. This generator supports a single user-entered tax rate; it does not determine VAT/GST treatment, reverse charges or withholding.

Before you send

Ask the client’s accounts team whether they need a PO, billing address, vendor setup or a specific submission channel. Check the issue date, due date, agreed currency, line totals and payment instructions together. Keep the quote or agreement, the issued PDF and evidence of payment so any difference can be explained later.
